When to Plan Your Park City Weekend
A realistic booking timeline for winter, summer, shoulder season, large rentals, dinner tables, and custom details.
For a peak winter weekend or major event, start four to six months ahead when a large rental and group dining matter; Visit Park City recommends booking lodging at least two to four months ahead for peak winter and major events. Summer and fall weekends are comfortable at three to four months, while quieter spring and late-fall trips can often come together in six to ten weeks.
Choose the planning window
Peak winter: 4–6 months
Start earlier for a large house, a specific ski-in neighborhood, holiday dates, or a group that needs lessons, rentals, and dinner reservations coordinated together.
Summer and early fall: 3–4 months
Concerts, festivals, weddings, patios, and foliage weekends create their own demand. Check the events calendar before locking flights.
Spring and late fall: 6–10 weeks
There is usually more flexibility, but seasonal closures and changing mountain conditions mean the itinerary needs good backups.
Major event weekend: as soon as dates are firm
Treat the event as the first planning constraint. Lodging, traffic, restaurant availability, and cancellation policies may all work differently.

Book lodging before small activities
A sold-out class can be replaced. The right large rental in the right neighborhood is much harder to replace.
Start the celebration-dinner list
Some restaurants release reservations on a shorter window, but choose the top two options now and note when their books open.
Eight to twelve weeks out
Lock transportation and anchor activities
Coordinate airport transfers, ski plans, spa blocks, private wellness, Olympic Park, distillery visits, or a private chef.
Confirm restaurant tables
Call for large parties, ask about deposits and minimums, and keep one backup dinner that does not depend on a hard-to-get table.
Collect one clean group form
Gather flight windows, dietary needs, room preferences, shirt sizes, and activity opt-ins in one pass.
Four weeks through arrival

Finalize custom apparel, printed pieces, decor colors, gift items, and any special-order supplies.
Two weeks
Reconfirm headcount, restaurant policies, vendor access, weather backups, and remaining balances.
One week
Send the final itinerary, addresses, packing list, transportation instructions, and the one contact person for changes.

Keep the calendar light. The best first-night plan is the one that still works after a delayed flight and a slow grocery stop.
